Project Manager (PM): Oversees the project setup, ensures correct naming conventions, adds participants, and manages overall project timelines.

Teams: Responsible for adding clients to the projects and managing client communications. Posts updates and relevant content to the project as needed.

Glossary: 

Basecamp: A client and team communication software.

Project Naming Convention: The systematic approach to naming projects which includes the use of abbreviations followed by full company names (e.g., AS_Authority Solutions).

6. Procedure Details

6.1. Preparation and Prerequisites

  • Ensure all team members have active Basecamp accounts. If not, create them.
  • Gather all necessary client information, including company abbreviation and full name for project naming, full name of the point of contact to be added and their respective email addresses.

6.2 Timeline for Task Completion

Detail: Project setup should be completed within 24 hours of receiving the client’s confirmation.

Frequency: As needed, upon commencement of new client projects.

Review Schedule: The setup process should be reviewed and updated annually or upon significant changes to project requirements or Basecamp features.

6.3. Step-by-Step Procedure

Step 1: Log into Basecamp and select the ‘New Project’ option.

Step 2: Name the project starting with the client’s abbreviation followed by the full company name (e.g., AS_Authority Solutions).

Step 3: Add a description of the project, outlining its scope and objectives.

Step 4: Add clients to the project using their email addresses, ensuring correct permissions are set to protect sensitive information.

Step 5: Add team members who will be involved in the project, assigning appropriate roles and responsibilities.

Step 6: Create a per-team board to post the message. For example: SEO Corner, Webdev Corner, etc.

Step 7: Create an initial post to welcome the client and outline the project’s goals and timelines.

Step 8: Regularly update the project with posts related to project milestones, updates, and relevant information.

6.4. Tools and Resources

  • Basecamp software.
  • Client and project information documentation.
