This SOP applies to the creation, automation, and management of email campaigns, covering the steps from content generation to campaign scheduling.

Responsibilities

  • Content Creator: Generates email sequence content using ChatGPT and ensures it aligns with the campaign goals.
  • Email Marketer: Configures SendFox for audience setup, automation series creation, and campaign scheduling.

 

Definitions and Key Terms

  • Email Campaign: A series of emails sent to a targeted audience to achieve a specific marketing goal.
  • Automation Series: A pre-scheduled sequence of emails sent automatically based on predefined intervals.
  • Audience List: A collection of contacts (first name, last name, email) to whom the campaign will be sent.

 

Tools and Resources

  • ChatGPT: For generating engaging and targeted email content.
  • SendFox: For email automation and campaign scheduling.
  • Email List Details: Includes recipient names and email addresses.

 

Prerequisites and Preparation

  1. Ensure access to both ChatGPT and SendFox accounts.
  2. Have the campaign objective, audience details, and required content prompts prepared.
  3. Verify the accuracy of the email list (including first name, last name, and email address).
  4. Ensure the sequence intervals (days/hours) for the campaign are planned beforehand.

 

Step-by-Step Procedure

Step 1: Log In to Tools

  1. ChatGPT: Log in to your ChatGPT account to generate email content.

  2. SendFox: Log in to your SendFox account to set up the campaign.

Step 2: Generate Email Content

  1. Identify the campaign’s objective and sequence requirements (e.g., welcome series, promotional offers).

  2. Use ChatGPT to draft the email sequence. Prompt example:
    “Create a three-part email sequence for a welcome campaign. Each email should have a clear subject line, engaging body, and a call to action.”

  3. Review the generated content, make any necessary edits, and save each email draft.

Step 3: Prepare Audience List

  1. Open SendFox and navigate to the Audience Tab.

  1. Create a New List:

    • Click “Create List” and give it a descriptive name.

  1. Manually Add Emails:

    • Add audience details, including:

      • First Name

      • Last Name

      • Email Address

Step 4: Create an Automation Series

  1. Navigate to the Automation Tab in SendFox.

  1. Click Create Automation Series.

  1. Name the Automation: Provide a descriptive name for the series (e.g., “Welcome Series for New Customers”).

  2. Click Continue to proceed.

Step 5: Configure the Campaign

  1. Select the Audience:

    • Choose the previously created audience list.

  1. Add Email Content:

    • For each email in the sequence:

      • Copy and paste the content generated from ChatGPT.

      • Set a clear subject line and call-to-action.

  2. Set Sequence Intervals:

    • Define the interval between each email (e.g., 1 day, 3 days, etc.).

    • Repeat for all emails in the sequence.

Step 6: Test and Review

  1. Send a test email to ensure formatting, links, and personalization tokens (e.g., {First Name}) work correctly.

  2. Review the automation sequence for accuracy and alignment with campaign goals.


 

Review and Finalization

  1. Internal Review:

    • Share the campaign and automation settings with the team for feedback.

    • Test the automation series to ensure proper sequencing and timing.

  2. Approval:

    • Obtain final approval from the marketing lead or campaign owner.
