Standard Operating Procedure (SOP)

    1. Procedure Title
      Name of the Process: Blog Posting Procedure
    2. Purpose
      Brief Description: To establish a standardized process for posting blogs on the WordPress platform to ensure consistency, accuracy, and alignment with client branding and expectations.
    3. Scope
      Involved Areas: Content Team, Graphics Team, and SEO Team
    4. Responsibilities
      Roles and Responsibilities:

      • Content Team: Responsible for preparing and proofreading blog content and FAQs.
      • SEO Team: Ensures interlinking, hyperlink formatting, and SEO compliance.
      • Graphics Team: Provides relevant images, CTAs, and design elements.
      • Blog Manager/Coordinator: Oversees the entire process and ensures completion.
    5. Definitions and Key Terms
      Glossary:

      • WP (WordPress): A content management system used to publish and manage blogs.
      • CTA (Call to Action): A piece of content designed to encourage users to take a specific action.
      • Interlinking: Adding hyperlinks that connect to other pages within the same website.
      • External Link: A hyperlink that points to a webpage outside the website.
    6. Procedure Details6.1. Preparation and Prerequisites
      • Access credentials for the WordPress website.
      • Blog content document available in the Blog Management Sheet.
      • Clear understanding of the client’s formatting and style requirements.

      6.2. Step-by-Step Procedure

      1. Add New Post

Login to the WordPress site and go to WP Dashboard > Posts  > Add New Post to open a fresh post page.
 

      1. Open Blog Management Sheet

Open the Client Blog Management sheet and choose from the “Document Link” column to open a Google Doc containing blog post content.

      1. Copy & Paste Article Title

From the blog content document, copy the article title and past it to the Title field in the fresh blog post page.

   

 

      1. Select Blog Category from the sidebar

Choose  the blog category from the Blog management sheet for the  blog post and select it from the Category checkbox in the blog post editor sidebar.

Note: If the category is not available yet, you can add a new category from the blog editor sidebar named “Add New Category” or through the WP dashboard>Post>Categories page.

      1. Set or Schedule Publication Date

From the blog post editor sidebar, choose and set or schedule the publication date. Refer from the blog management sheet to see the month for the respective blog post. 

 

 

      1. Copy & Paste Article Content

From the blog post, select and copy the content and paste it on the blog post editor content field or text block.
Note: 

      • If the blog docs file is templated just like in the screenshot, you cannot copy it directly because the table will also be copied. Instead, copy and paste unformatted through Ctrl+Shift+V or Cmd+Shift+V. This will remove all formatted text so headings, bullets and hyperlinks should manually be set

      • Double check and assign the right Heading tag to be used (eg. h1, h2 h3, etc..)

      • For hyperlinks, check whether it is an interlink or external link. For external links make sure to set it to Open in New tab upon click.

      • Fix unwanted texts or stylings like bold text, capitalization, and spelling.




      1. Copy & Paste Frequently Asked Question Content

At the bottom part of the blog content doc, select and copy the question and answers for the FAQ section and past it to the Question and Answer field in the blog post editor page.

Note: Just copy the Question or Answer only and dont include the “Q”, “A”, or numbers.



      1. Copy & Paste CTA Content

From the blog content doc, select and copy the CTA content and past it on the CTA field at the bottom part of the blog post editor page.



      1. Save, Publish or Schedule

Double Check all fields if filled up properly then from the blog post editor sidebar, click “Save”, “Publish”, or “Schedule” to publish or schedule the post.



      1.  Document Blog Post URL

a. After publishing or scheduling the new blog post, copy the blog URL from the blog post sidebar that will appear after publishing and paste it to the Blog Management sheet for documentation.

Note: Another method is to open the post in a new tab and copy the URL from the browser URL toolbar.

b. Every time a new blog was published or scheduled, make sure to update the Article Status column from the Blog Management sheet. 

 


 

  1. Quality Control and Evaluation Metrics
    Performance Indicators:

    • Posts published with correct formatting and without errors.
    • Accurate scheduling as per the Blog Management Sheet.
    • Effective use of interlinking and CTAs to optimize SEO.
  2. Exception and Problem Handling
    • If the content formatting is not displaying correctly, troubleshoot using the WordPress editor.
    • Report any missing or inaccessible content documents to the Blog Manager immediately.
    • For videos that do not play, re-upload to Vimeo or use a compatible video platform.
  3. Documentation and Record Keeping
  • Maintain a complete and updated Blog Management Sheet with publication statuses and URLs.
  • Keep backup copies of all blog content in Google Drive or a shared storage system.
  1. Procedure Review and Update
    Review Frequency: Annually or whenever there are significant updates to WordPress functionality or client guidelines.
